  1. Minutes of Nov 7th: Approved with edits to item 3a: Marty Karl Enterprises spelled correctly. Betty's name replaced with Harriet
  2. Agenda: approved with addition of report under Other Business re Ian's application for chaplaincy.
  3. Continuing Business
    1. Newcombe/PRID celebration. Food is being catered by Emily Shepard and others. We will have a donation basket at the event. Preparations are well in hand for Dec 4th, 2 to 4pm.
    2. Jane Zavitz-Bond and archives potluck. Date has been selected as Jan 30th, to be confirmed with Jane.
    3. HMM Retreat. Crieff Hills Retreat Centre has been selected for April 1-3. $580 deposit is required by Dec 29th. M&C is asked to prepare registration form. Average cost is $65 per day, meals included, total approx $130 per person. A letter has been received from Margaret Slavins re possible program formats and was read to the meeting. Margaret will be with us for 8 days. We intend to arrange a day event with her for those who cannot be at the retreat. A newsletter article will be prepared with details of program, cost and provisions for day attendees.(Jean )

      We encourage Friends to make firm commitments by Dec 28th, but we intend to proceed even if not fully subscribed (15) by the deadline. We authorize the Treasurer to disburse $580. M&C will arrange and elder to companion Margaret. We intend this to be an adult retreat. A limited number of day attendees can be accommodated.

    4. John Calvi visit to Ontario. This well known Quaker healer is visiting our area in February. Susan W agreed to get further information on his current focus, availability and report to M&C in advance of the January M4B.
  4. Business Arising
    1. Meetinghouse doors will be open at 10:30 by the coffee provider, who will have a key or be invited to borrow one from a member of Meeting. Betty P has spare keys.
    2. Benches and chairs will be returned to previous (traditional) arrangement with fewer chairs. We ask Don W to prepare this arrangement.
    3. Refugee Support Fund (Dunford Bequest) We approve the donation from HMM to the Ecumenical Support Committee for Refugees, Hamilton. Susan will request the Treasurer to issue a cheque for the amount of the 2004 interest. We also considered the support of Brendan Huey refugee and conscientious objector from USA.
    4. Jennifer Preston Howe request. On Nov 2nd Jennifer requested financial support from the Meeting for CFSC to send her to Geneva from Nov 29 to Dec 4. She will be attending the Extra Session of the UN Working Group on the Draft Declaration on Rights of Indigenous Peoples. We encourage Friends to make a special donation to HMM to be forwarded to CFSC. Jennifer's request is for a contribution towards the $1000 cost of travel. We will revisit this request in January with an updated financial status report from the Treasurer and consider a Meeting donation at that time.
  5. Other Business
    1. Status of Request for chaplaincy: On Nov 20th, Representative Meeting approved the recommendation of the CYM Clearness Committee to record Ian Graham in the ministry of chaplaincy. We congratulate Ian. An ongoing committee of care is to be named by M&C in consultation with Ian. Ian's existing committee is willing to continue until such time as the new committee is in place. Ian expressed his thanks to the Meeting and offered to speak to Meeting in the future on his work in prison chaplaincy.
  6. Correspondence
    1. Diana S and Sean S announce their engagement and request to be married under the care of this Meeting. A Committee for Clearness for Marriage will be named by Nominating Committee. The wedding is tentatively set for August 2005. Names for people willing to serve were proposed and NC is asked to consider including another person closer in age to Diana and Sean.
  7. Next Meeting: The January meeting will be held on January 9th, 1:30 pm after worship and a shared lunch.
  8. Meeting adjourned with silent worship at 10pm.
