Present:

Harriet, Dawn, Mona C, Carol Leigh, Blair, Nicki, Jesse, Glenna, Rex, Christina, Bev, Ian (recording clerk), Helen B (presiding clerk)

  1. Worship Meeting opened with silent worship.
  2. Minutes of June 2005 meeting were read and approved with changes.
  3. Agenda: Items were priorized for the order of business.
  4. Business Arising
    1. Ontario Regional Gathering: We have had this item on our agenda since May 2005, and although this Meeting has expressed support for the idea, we have not found the energy among HMM to follow through with planning and support. We lay this matter down, with regret. We ask Bev to notify Gord Thompson of our decision.
    2. Outreach Projects: We are mindful of the recommendation from NC, approved at May M4B to lay down the Outreach Committee for this year due to being only one person willing to serve. We did not do Clubsfest and not sure of any activity for "It's Your Festival". The website is being maintained by Dawn. The projects listed by NC in May are approved but any new projects must be brought to M4B. A request will be entered in the Newsletter for a person to distribute the Inquirer's Packet and replenish stock. Any promotional literature will be brought to M4B before a decision to reprint or change content.
    3. Potlucks:
      1. We agree to hold our October potluck on Sat 15th as part of hosting HMAC. We look forward to a Friend coming forward to host this event.
      2. Thanksgiving Dinner Monday Oct 10th. We ask the Clerk to approach Betty P if she is could suggest a person (or herself) to coordinate this event.
      3. November topic: Hamilton Community Bridge support for ex-offenders. Date Thur Nov 24th. Arrive 6pm for 6:30 dinner. Ian to host.
    4. Stephens/Shepard Wedding: Wedding was be held on Aug 6th under the care of the Meeting. It was a lovely event. Bev read a letter of appreciation to the Meeting from Sean and Diana. (to be included in newsletter.)
    5. Quaker Statement on Tolerance (carried over)
    6. Alan Pleydell Meeting (carried over)
  5. Reports
    1. Treasurer's Report:

Blair brought the report showing our financial state to date.  It was approved with a query on the line 'Total Other Income' to be answered at next M4W4B.  He noted the through-put item of $5000 from the Rogers Trust for the finishing of Chanda Chevannes' film on Quaker practice and the anonymous donation of $5000 toward the maintenance of the Meeting House.

Glenna drew to our attention the need for us to have a formal agreement with Chanda drawn up to cover our responsibility to the Canada Revenue Agency.  Glenna will send a template of the required document to the Treasurer.

    2. Maintenance report: no report
    3. PSAC Report: No report
    4. Canadian Yearly Meeting: carried over
  6. New Business
    1. Christopher Yang's nomination to NKN: We ask Bev to prepare a letter of support for Chris on behalf of the Meeting.
    2. Hosting of Half Yearly Meeting Oct 29: HMM is responsible for the planning of program, (adult and children), meals, childcare, publicity, and registration. We approve a committee of names for this work, with thanks: Dawn, Bev, Jesse, and others as way opens. The committee will determine the theme of the event.
    3. Home Mission and Advancement Committee (HMAC) Oct 14-16: HMM is requested to host the fall meeting of HMAC at Butty Place. Our duties will include billeting, transportation, Friday evening meal, Saturday lunch, and potluck dinner. 8 to 10 ten HMAC members are expected. We accept Bev's offer to prepare Saturday lunch, Dawn to do the Friday supper and Nicki will arrange billets/transportation, with help from Harriet. Bev to contact Kate Friesen, HMAC liaison person.
  7. Correspondence
    1. Pendle Hill autumn program will be posted on the bulletin board
    2. Letter dated June 2005 from Kirklees Meeting, Huddersfield, England requesting support for a refugee family: This request is too late for our considered response. We ask Bev to contact to clerk of Toronto Meeting asking what action they have taken and if financial support is appropriate.
  8. Next Meeting time is Thurs Oct 6th, 7pm
  9. Worship The meeting closed with silent worship.
  10. Next Meeting for Worship for Business is Thursday, October 6th with silent worship starting at 7:30pm.
